What Buyers Should Check When Comparing Fastener Quotations

Learn what buyers should check when comparing fastener quotations, including material, dimensions, finish, MOQ, inspection, lead time and packaging.

What Buyers Should Check When Comparing Fastener Quotations - Hextro Technology
When comparing quotations from several fastener suppliers, unit price is usually the first thing buyers look at.
But for custom screws, special fasteners or parts made according to drawings, the lowest price does not always mean the lowest overall cost. Small differences in material, dimensions, finish, inspection or delivery terms can change both the price and the final result.
Here are some points worth checking before selecting a supplier.

1. Material and Grade

Make sure every supplier is quoting the same material.
“Stainless steel” is too general. SUS304, SUS316, carbon steel, alloy steel, brass and aluminum can have very different costs and performance.
If a material certificate is required, this should also be confirmed before production.

2. Drawing and Critical Dimensions

For custom fasteners, the drawing is often more important than the product name.
Head diameter, thread length, shoulder length, hex size and other details may affect the manufacturing process and tooling.
Before comparing prices, make sure all suppliers are quoting according to the same drawing revision and the same critical dimensions.
If the project starts from a sample, it is better to confirm a drawing before mass production.

3. Surface Finish

Surface treatment can also create a noticeable price difference.
Common finishes include zinc plating, nickel plating, black oxide, passivation and other special coatings.
If corrosion resistance, coating thickness or appearance is important, these requirements should be clearly stated in the RFQ.
Two parts may look similar but use different finishing processes.

4. MOQ and Tooling Cost

One supplier may accept 5,000 pieces while another requires 50,000 pieces.
For custom fasteners, buyers should also check whether tooling is required and whether the tooling cost is a one-time charge.
Sometimes a slightly higher unit price with a lower MOQ is more economical than purchasing unnecessary inventory.

5. Inspection Requirements

Inspection should be discussed before placing the order.
For standard screws, basic dimensional checks and thread gauges may be enough.
For custom or assembly-critical parts, optical measurement, dimensional reports, material certificates or pre-shipment inspection may be required.
The inspection method should match the actual application of the part.

6. Lead Time and Communication

A good quotation is not only about price.
For overseas buyers, production follow-up and communication are also important.
Delays can happen because of raw materials, surface treatment or production problems. The important point is whether the supplier reports issues early and provides clear updates.
A small saving in unit price may not mean much if a late shipment affects assembly or customer delivery.

7. Packaging and Delivery Cost

Packaging and freight should also be considered.
Heavy fasteners may need stronger cartons. Appearance parts may require individual protection. Pallet size and total weight can affect shipping cost.
For export projects, the real comparison is not only the EXW unit price. It is the total cost of receiving usable parts on time.
Price Is Only One Part of the Decision
Comparing prices is important, but the comparison only makes sense when material, specifications, quality level, quantity, inspection and delivery conditions are the same.
At Hextro Technology, we support overseas buyers with custom fasteners, CNC machined parts and small metal components based on drawings or samples, including drawing review, production follow-up, inspection coordination and export delivery from China.
If you are comparing quotations for a new fastener or custom metal part, feel free to send us the drawing or sample information for review.
